DialogHive — multi-tenant AI customer messaging platform

These Terms & Conditions ("Terms") govern access to and use of DialogHive (the "Service"), operated at dialoghive.com, including the client portal at app.dialoghive.com and the website chat widget. By creating an account or connecting a messaging channel you agree to these Terms.

1. The Service

DialogHive lets a business ("Client") connect its own messaging channels — WhatsApp Business, Facebook Messenger, Instagram Direct, and its own website — so an AI assistant can answer customer messages on the Client's behalf, and lets the Client manage those conversations, leads, and orders from a single dashboard.

2. Accounts

  • You must provide accurate account information and keep your login credentials secure. You are responsible for all activity under your account.
  • You must be authorized to act for the business you register, and be of legal age to enter a contract in your jurisdiction.
  • We may suspend an account that is used in breach of these Terms or of the platform policies of Meta or any other channel provider.

3. Connected channels and third-party platforms

  • You may only connect Facebook Pages, Instagram professional accounts, and WhatsApp Business numbers that you own or are authorized to manage.
  • Your use of connected channels remains subject to the terms and policies of the platform that provides them (including Meta's Platform Terms, the WhatsApp Business Messaging Policy, and Meta's Developer Policies).
  • Access tokens are stored encrypted and used only to receive and send messages for your account. Disconnecting a channel invalidates its stored token.

4. Acceptable use

You agree not to use the Service to:

  • send spam, unsolicited bulk messages, or messages outside the consent rules of the channel you are using;
  • send unlawful, deceptive, harassing, hateful, or infringing content;
  • impersonate another person or business, or misrepresent an automated reply where applicable law requires it to be disclosed;
  • collect payment card data, passwords, or other sensitive credentials through the chat;
  • attempt to break, overload, reverse-engineer, or gain unauthorized access to the Service or to another tenant's data.

5. AI-generated replies

Replies are produced by a large language model using the knowledge base and settings you configure. AI output can be inaccurate or incomplete. You are responsible for reviewing your configuration, for the messages sent from your channels, and for any commitments (pricing, availability, delivery) communicated to your customers. The Service is a tool and does not provide professional, legal, medical, or financial advice.

6. Your content and data

  • You retain ownership of your business content (knowledge base, catalogs, branding assets) and of the conversation data belonging to your channels.
  • You grant us a limited licence to host, process, and transmit that content solely to operate the Service for you.
  • You are the controller of your customers' personal data; we act as your processor. You are responsible for having a lawful basis and the notices or consents your jurisdiction requires.
  • How we collect, use, and protect data is described in our Privacy Policy.

7. Plans, billing, and trials

  • Paid plans are billed in advance for the selected period. Message and channel limits are shown on your plan.
  • Payments are processed by our payment providers; manually confirmed payments are activated once verified by our team.
  • Fees already paid are non-refundable except where required by law. Cancelling stops future renewals; access continues until the end of the paid period.
  • We may change pricing with reasonable notice before the change applies to your next renewal.

8. User data deletion

You can have your data deleted at any time. Full instructions and a self-serve request form are on the Data Deletion Instructions page.

If you messaged a business through Facebook or Instagram

  1. Open Settings & Privacy → Settings → Apps and Websites on Facebook (or Settings → Website permissions → Apps and Websites on Instagram).
  2. Find DialogHive, remove it, and choose "Delete data".
  3. Facebook sends us a signed deletion request; we delete your data and return a confirmation code plus a link to our status page where you can verify it completed.

By request (any channel, including WhatsApp and website chat)

Submit the form on the Data Deletion Instructions page, or email [email protected] with the business you messaged, the channel, and the phone number or profile name you used. We verify each request and complete it within 30 days; data is removed from production on processing and from encrypted backups within 90 days.

If you are a business Client

Disconnect an individual channel from Settings → Channels, or delete everything from Account → Danger zone → Delete this account permanently. Deleting the account erases your business and all of its data — conversations, leads, orders, connected channels, team members, and billing history.

9. Service availability

We aim for high availability but do not guarantee uninterrupted service. Maintenance, third-party outages (hosting, AI provider, Meta APIs), and factors outside our control may interrupt the Service. We may modify or discontinue features with reasonable notice.

10. Suspension and termination

  • You may stop using the Service and delete your account at any time from the portal.
  • We may suspend or terminate an account for breach of these Terms, for non-payment, or where required by a channel provider or by law.
  • On termination, your data is deleted as described in section 8 and in the Privacy Policy.

11. Disclaimers and liability

The Service is provided "as is" and "as available", without warranties of any kind to the maximum extent permitted by law. We are not liable for indirect, incidental, or consequential damages, lost profits, or lost data. Our total liability for any claim is limited to the fees you paid for the Service in the three (3) months before the event giving rise to the claim.

12. Indemnity

You agree to indemnify us against claims arising from your content, from the messages sent to your customers, from your use of connected channels, or from your breach of these Terms or of applicable law.

13. Changes to these Terms

We may update these Terms; the "Last updated" date reflects the latest revision. Material changes are communicated through the dashboard or by email. Continued use after a change takes effect means you accept the updated Terms.
